PlugClaw can help check emails in a configured mailbox and generate replies based on the email body. When an email needs timely handling, there is no need to repeatedly switch into the mailbox to search for details. PlugClaw can locate the target email, read its body, and prepare a suitable reply.

Before using this capability, configure the email account in K-9 Mail and make sure the mailbox can send and receive emails normally. This case uses a meeting confirmation email as an example to show how PlugClaw handles a clear email reply from reading the message to preparing the response.

2. Check the Meeting Confirmation Email

When a meeting confirmation email arrives, describe the mailbox range and the keyword to search for.

Example prompt:

Check the recent unread emails in my inbox, find the email whose subject contains "Meeting Confirmation", and read the email body.

PlugClaw finds the matching email in the inbox and reads the key information from the body. In this example, the email body includes the meeting time, meeting topic, and attendance details, so the reply can be generated directly from those details.

3. Generate a Reply Based on the Email Body

After confirming the email content, PlugClaw can generate a reply. In this example, the email body mentions that the meeting is at 10:00 AM tomorrow, so the reply can clearly confirm that the arrangement has been received and that the meeting will be attended on time.

Example prompt:

Generate a reply based on this email body. Say that I have received the meeting arrangement and will attend the meeting at 10:00 AM tomorrow. Keep the tone polite and concise.

PlugClaw uses the meeting details from the email body to prepare the reply. After the content is confirmed, the reply can be sent in the original email thread, making follow-up communication easier to track.

4. Suitable Emails

This approach is suitable for emails with clear content and straightforward reply requirements, such as:

  • Meeting time confirmations.
  • Receipt acknowledgements for materials.
  • Simple matter confirmations.
  • Schedule or task arrangement replies.
  • Short status feedback.

For emails involving contracts, quotations, customer commitments, account security, or complex attachments, it is better to generate a draft first and confirm the content before sending.

  • Configure the mailbox first: Set up the email account in K-9 Mail and confirm that it can send and receive emails normally.
  • Describe the email range clearly: Mention the inbox, unread status, sender, subject keyword, or time range to help locate the target email faster.
  • Create drafts for important emails: For contracts, quotations, accounts, security, or customer commitments, confirm the draft before sending.
  • Check sending status when needed: A successful send action does not necessarily mean the recipient has received the email. Check the sending status or sent folder when necessary.
